General Ledger and Financial Statements

COMPANY AND MULTI-COMPANY MANAGEMENT

  • Support for a virtually unlimited number of companies in multi-company management with a 6-character alphanumeric company code.

At the moment of use, the function presents a list of active automatic entries according to the date sent and allows the user to make a specific selection of entries or apply a one-off adjustment before confirming the global sending. The function also allows the user to view details of the entries made at the time of its last use.
  • Transaction reversal function supports all accounting journals.
  • Option to enter amounts with "Include" or "Exclude" tax on sales and purchases.

  • Integrated MS-Excel® financial dashboard delivered with the software, including several basic work and analysis templates. Activated via the current company, this dashboard is an extension of CTRL/Finance, exploring the possibilities of financial analysis by relying on direct integration with raw data. For example, a specific financial statement presentation format or the definition and monitoring of particular financial indicators beyond the known ratios (e.g., working capital). This dashboard also offers the possibility of analyzing the company's projected cash flow according to your specific financing parameters (maximum operating credit, dynamic margination, etc.) and your budgeting of variations in fixed assets. The simulation model automatically adjusts forecasts based on deviations from actual cash recorded as and when it becomes available, i.e. as the year progresses.

 

Customer accounts and receivables management

  • The basic "Customer" file is supplemented when CTRL/File is pressed, by an additional "XRM File" section, enabling consultation of the customer's "extra-accounting" information. Additional information options include editing and viewing: all contacts defined in the file, the customer's management and marketing profile, and appointments. In addition, access to this additional information respects the access rights defined per user in CTRL/File.
  • Customized category by the customer, enabling, for example, the grouping of customers for the issue of statements and the analysis of accounts receivable. Depending on the type of categorization applied, the analysis of sales made by customer category can also provide a view of revenue distribution based on the Pareto principle (80-20).
  • Currency by customer. This currency is used by the invoicing functions in CTRL/Product and CTRL/Project.
  • Federal and provincial tax codes by customer.
  • Association of a "Territory" per customer. The territory allows, among other things, management of taxes by territory in CTRL/Product and can, of course, be used for basic analyses such as total sales by territory in CTRL/Finance.
  • Credit limit by the customer, with a choice of overrun management to block or allow overruns when entering sales.

Supplier accounts and payables management

  • Basic, fully integrated "Supplier" file with CTRL/File for consultation and editing of complete extra-accounting information, with task management and supplier follow-up as required. Current balance, last payment and annual purchase and discount statistics by supplier directly available in the supplier file.
  • Customized supplier categories enable, for example, the grouping of invoices to be paid during the accounts payable batch payment process, to target strategic and priority suppliers. Accounts payable analysis also benefits from this categorization capability, as required. Can also be operated by master supplier.

Only the disbursement of the amount at the time of payment triggers the mechanisms for evaluating exchange rate variations.

Employees and payroll management

EMPLOYEE FORM

  • Complete the "Employee" file with the option of setting hourly rates or fixed salaries per period. Management of different wage rates linked to employment status, category and employment territories.
  • When CTRL/File is pressed, an additional "XRM Folder" section is added to the employee options, enabling consultation of the employee's "extra-accounting" information. The ability to directly access and edit an employee's XRM file means, for example, that they can be registered as an available resource working for different accounting companies. In a multi-company context, CTRL/File allows basic employee information to be centralized in a single location. What's more, CTRL/File's task management also makes it possible to manage certain key HR aspects, such as employee training, thus facilitating, for example, the optimization of Quebec's Bill 90.
  • Management of model job profiles that can then be associated with each employee. These model profiles speed up the initial configuration of each employee. The job profile is then used in the timesheet and expense reports.
  • Management of employee groups representing, for example, different unions within the company to simplify payroll management.

  • Designed around a flexible transactional architecture. The software comes with the usual standard transactions (regular hours, vacation, bonus, commission, TSA, etc.), and it is possible to create customized transaction codes and configure payroll calculations for particular contexts.
  • Adjustable timesheet configuration at the column level, by user or company-wide. Daily or weekly mode.

This expert system is very useful when you have a large number of employees to quickly regularize any time entries that deviate from a standard framework. For example, after 8 hours a day, the unit of one hour entered becomes "Half" or "Double", or time in excess of the regular schedule becomes "AO (Accumulated overtime)".
