Planner and Appointment

PLANNER AND APPOINTMENT BOOKS

  • A diary can comprise a set of appointment books presenting the schedule of a single resource or several resources combined. A book can, for example, be linked to a given work team. The appointment book design is fully customizable regarding the choice of resources (human and material) and columns (time, occupation, status, appointment category) that can be combined. Each appointment book corresponds to a diary tab that can be quickly activated to move from one context to another, from one work team to another. The order of notebooks within a diary can be customized to group the most frequently used notebooks.
  • The presence of a synchronized Kanban console that provides a global view of the clinic at all times, in terms of patients present at the clinic and their stage of treatment (in the waiting room, in the treatment room, at reception for billing). This console enables patients to be moved from one stage of treatment to another with a simple "drag and drop". This console is also fully integrated with the diary's step-by-step time tracking (status) and benefits from the same visual notification capability (flashing) when a scheduled time is exceeded. Linked to the reconciled processing times for each step, the software offers a detailed analysis report by a professional as required.
  • Appointment books can be designed for daily, weekly, monthly or specific frequencies, e.g. a view only of Wednesdays each week. The notion of an "Appointment Book" includes several parameters controlling the information displayed: the information displayed in a tooltip on an appointment, the information displayed in the status bar, the information displayed when printing the schedule, the information displayed in the appointment box, the performance indicators in the column headers, etc.
  • Access to a planner or notebook can be secured so that it is only available to a specific group of users.

An option allows you to move the patient from one stage to another quickly.
  • Colour-coding of the priority profile associated with the patient displayed at the appointment booking and appointment box to quickly identify a particular situation. The profile often acts as a visual alarm (medical condition, frequent absence, payment problems, etc.).
  • In the context of paperless management, the presence of a visual indicator at the appointment indicates whether or not the professional note linked to the appointment has been signed by the professional.

APPOINTMENT SCHEDULING AND MANAGEMENT

The function can be parameterized to give you full control over the time slots you wish to open on the Web and the categories (nature, type of treatment) of appointments you wish to make available to your clientele.
  • A quick search of patient records by the first 3 letters of the patient's first and last name when scheduling an appointment.
  • Interactive management of visits scheduled to a patient's treatment plan when making an appointment. If a patient's treatment plan is active and uncompleted, the system notifies you of its presence and offers you the option of using the predefined visit schedule.
  • Batch appointment confirmation by email and SMS in both languages. Upon receipt of the patient's reply, it is dynamically integrated into the diary, and the appointment status is adjusted to inform you immediately.
  • Multi-resource appointment scheduling direct to the appointment card or via the availability search function.
  • An availability search function that can be activated in "simple" mode for a single resource or for multi-resource appointment scheduling based on criteria supporting different management needs, e.g. workgroup availability (professionals and equipment), appointments in sequence with or without overlap, validation of the presence of an additional professional in case of need without immediately reserving their schedule, etc. In the case of multi-resource appointments, once the date and time have been confirmed, the schedules of all the resources involved are automatically booked.

This approach makes it easier to book several simultaneous appointments for the same patient via the preview panel available in the search results.
  • Recurring appointment management with the definition of key parameters (start and end dates, frequency for a period, specific day).

  • Patient "appointment" statistics (absence, cancellation, travel) are directly available in the patient's file. Information stores current and previous year's statistics for comparison.

  • Interactive reminder management with appointment management lets you close a reminder when an appointment is booked or reactivate a reminder when an appointment is cancelled. If the reminder was initially defined for a particular resource and/or treatment category, the interactivity between appointments and reminders is even more precise.
  • Management of an interactive waiting list, which is constantly validated when appointments are booked or cancelled, in order to propose removal from the list or inclusion on the current waiting list. SCHEDULE AND RESOURCE MANAGEMENT

  • Each human or material resource has its own schedule (presences, planned absences, by a period of the year, etc.) and independent unit periodicity in minutes. If required, the schedule of a given resource can be consulted and modified directly from the planner. A quick open/close option also enables rapid adjustments to be made to the schedule simply by selecting the relevant time slot.
  • Each resource can be associated with a category, which can then be used in an availability search to quickly answer a question such as: "Which professional in specialty X is most readily available to see an emergency patient? The number of categories that can be defined is unlimited. The resource category is also used for analysis and statistics.
  • Possibility of categorizing a professional's time slots by treatment category. This ensures that only appointments from the same category can be inserted in the time slot in question.
  • Possibility of defining workgroups, which can then be used to search for availability and speed up the scheduling of multi-resource appointments.
  • Schedules can be managed by branch. An effective approach for a group of clinics wishing to set up a central appointment scheduling system which uses mobile resources - professionals moving from one clinic to another. Scheduling by branch ensures rigorous resource management to avoid conflicts. A patient's appointment at a given branch can only be booked if the resource's schedule is free for the same branch.
  • Absences and attendances can be defined as "Exclusive" or not. The "Exclusive" type for an absence eliminates the time slot concerned from available time slots during an availability search. A presence defined as "Exclusive" for one or more categories will only register appointments with the specified category. It is also possible to define a fixed appointment duration for a presence category (time slot) when it is of the "Exclusive" type.

Diagnosis and treatment

PROFESSIONAL NOTES

  • The ''professional notes" feature enables professionals to fully document their medical intervention during an appointment. Each note can be associated specifically with an appointment or as a general note to the file. This functionality takes advantage of the CTRL/Smigg platform's complete traceability management to guarantee a robust reference in the event of evidence to be provided in an ethical or civil dispute.
  • Initialization of the professional note based on a diagnosis, a treatment plan, or the treatments carried out during the appointment, thanks to abbreviations (groupings) of procedures acting as standard note templates. The automated note can then be adjusted manually.
  • Each note is digitally signed by one or more professionals in the presence of supervisors. Once signed, the note is locked, and only erasures and the addition of new information are permitted. An automatic note-locking delay can be configured.
  • Additional formatting of the professional's initialized or final note to apply the usual "colour, bold, etc." options to the desired sections of the note entered.
  • Possibility of pinning a particular note to the top of the list of professional notes so that key patient information is always visible when the patient's file is opened.

DIAGNOSTICS

STERILIZATION MANAGEMENT

  • A module for managing the traceability of your medical instrument sterilization, enabling you to quickly identify the potential impact of a sterilization deficiency for a given batch at any time. By including a unique identifier as a trace to the professional note of an appointment via a quick QR barcode scan, it is then very simple to trace all patients who may have been impacted by a questionable sterilization batch.

Digital document management

  • Automatic management and creation of a unique physical directory corresponding to each patient file created.
  • The document function automatically displays any images and documents present in the patient's physical directory for seamless integration. Any document or image can be transferred to a patient's directory with a simple "Copy & Paste" (e.g. from a camera) and automatically appear in the patient's document management system.
  • View and consult the image directly in the software. Full-screen viewing mode is also available.
    Integrated image editor. Available editing functions include rotation, colour correction, contrast and brightness, hue and saturation, graying, embossing, negative, specify, drawing function, annotation, eight filters and a magnification beam. Zoom In-Out and Undo functions are also available.
  • Double-click to automatically activate the external image editor of your choice. When the image comes from one of the supported imaging software programs, it is automatically recognized as the specific editor for the image. This approach guarantees seamless integration with specialized external analysis tools.
  • Categorization of each image to enable subsequent searches by clinical case type.
  • Option to quickly transfer an image (e.g. captured in the treatment room) as a patient photo to the patient's file.
  • Professional presentation of images on a black background for presentation to the patient. Navigation is designed explicitly for mouse-only operation with contrast and brightness adjustment. Possibility of printing the group of images, for example, to give the patient a "before treatment" and "after treatment" photo.
  • Direct image capture from equipment offers one output type: Composite, Twain, HDMI, USB or Coaxial. Capture resolution is linked to the specifications of the capture card used. Possibility of operating via a foot pedal system to maintain freedom of hand action during processing.
  • Accelerated image capture protocol via pre-configured sequence capture templates operating from a footswitch. Each image capture can be automatically linked to an object to enable geophysical representation (position on the body). All captured images are automatically saved in the physical directory of the patient file.

    INVOICING STANDARD AND CUSTOMIZED PRICE GUIDE

    • Notions of rate guides grouping together a set of procedures. An unlimited number of rate guides can be defined and managed. A rate guide can be associated with a specific insurer. Several reference fee guides are supplied with the software.
    • Management of previous and current fees for procedures billed according to the treatment date.
    • Possibility of associating a specific fee guide with a professional to minimize procedure entry errors in the file.
    • French or English description per procedure for automatic invoice personalization according to patient's language.
    • Procedure categories for professional fee analysis.
    • Abbreviation code for each act to speed up the data entry process when encoding treatments.
    • Definition of personalized procedure groups for faster entry of multiple procedures in the file.
    • Highly flexible price configurator for modulating the basic procedure price according to different billing profiles: territory, branch, payment method, procedure or patient category, targeted rate guide, etc. Once the profile has been established, the price can be modulated according to different criteria: for a period or a day (e.g.: promotion), as a fixed adjustment or as a percentage of the amout, with possible price ceilings and floors, etc.
    • Batch price update utility for procedures in one or more rate guides, or for a certain procedure category in a guide. The utility operates either in terms of adding or removing a fixed amount, or according to a positive or negative % increase in historical rates.

     

    INVOICING AND INSURANCE

    • Quick and easy billing and payment for most basic cases (direct payment, credit card, cheque, etc.) with invoice and payment credit for quick correction or cancellation if required.
    • Partial or full billing and payment for procedures ready for billing or payment by simple selection.
    • Special billing and payment for a detailed breakdown of any combination of billing and payment methods. This option can be used, for example, to generate recurring income (income averaging) over several months, and to generate a series of post-dated receipts (pre-authorized payment, series of post-dated checks, etc.) in a single operation.

Support for coordination of multiple insurances when allowed by the insurer, sending digital documents to the insurer and the possibility of simultaneous transmission on two different networks.
    • Use and billing of inventory items managed by CTRL/Product (orthotics, botox, drugs, etc.) simultaneously with the billing of medical procedures. The software supports specific inventory management by branch (warehouse) via the professional associated with billing, who can himself be associated with a branch by default.
