MANAGEMENT OF RECALLS AND INTERVENTIONS
CALENDAR AND APPOINTMENTS
CALENDAR AND APPOINTMENT BOOKS
Agenda that can be composed of a set of appointment books presenting the schedule of a single resource or of several combined resources. A notebook can, for example, be linked to a given work team. The design of the notebooks is fully customizable on the choice of resources (human and material) and columns (time, occupation, status, appointment category) that can be combined. Each meeting book corresponds to a tab in the agenda that is quickly activated to move from one context to another, from one work team to another. The order of the notebooks inside an agenda can be personalized to group together the most frequently used notebooks.
Presence of a synchronized Kanban console that allows you to have an overall view of the clinic at all times in terms of patients present at the clinic and their treatment stage (in the waiting room, in the treatment room, at the reception for invoicing). This console allows you to move a patient from one treatment step to another with a simple “swipe”. This console is also fully integrated with the step-by-step time tracking (status) of the agenda and benefits from the same possibility of visual notification (blinking) when a scheduled deadline has been exceeded. In connection with the processing times reconciled for each step, the software offers a detailed analysis report by professional if necessary.
Design of daily, weekly, monthly or at a given frequency, for example, a view only for Wednesdays of each week. The notion of "Appointment book" provides for several parameters controlling the information displayed: that displayed in a tooltip on an appointment, that in the status bar, that when the timetable is printed, that displayed on the appointment box, performance indicators in the column header, etc.
Access to a diary or a notebook can be secured so that it is only accessible to a specific group of users.
In the context of operating several appointment books, possibility of synchronizing the navigation date from one book to another.
Quick navigation by day, week, month including a back to “today” button. Presence of a calendar that offers navigation by month, by six months, by year and for a selection of specific dates. Presence of an advanced navigation mode that allows you to customize the most frequently used movement interval, example: for x days, x weeks, x months and x years.
Possibility of automatic activation of a specific agenda for a given professional to speed up activation.
Ability to remove the display of a resource completely absent for the day in the appointment book.
Possibility of defining the display color by appointment category. This color is applied to the appointment box to quickly identify the nature of the planned treatment.
Configurable appointment status code associated with an icon displayed to identify the patient management step. The appointment status makes it possible to follow its complete journey from the beginning of the appointment of the patient until his arrival in the clinic and his treatment. All the stages of communication with him can be followed in detail: notified, appointment confirmed, etc. Each status also offers the possibility of activating a visual attribute, such as a flashing of the appointment, to indicate a missed deadline (late) on an appointment. An option allows you to quickly move the patient from one stage to another.
Color code of the priority profile associated with the patient displayed when making an appointment and in the appointment box to quickly identify a particular situation. The profile frequently acts as a visual alarm (medical condition, frequent absence, payment problem, etc.).
In the context of paperless management, the presence of a visual indicator at the appointment indicates whether or not the professional note linked to the appointment has been signed by the professional.
Moving appointments with a simple "Drag" with full validation of the time slot and for keeping the initial appointment in the patient's history if necessary. The standard Windows® keys "CTRL and X", "CTRL and C", "CTRL and V" also work.
Visual adaptation option (leveled, compressed min./max.) In the context of multi-resource appointment books that have different schedules and/or periodicities.
Visual indicator (line) displaying the current time.
Each appointment offers a tooltip whose content can be configured by agenda book. You can display patient and/or insurer balances, advances, patient insurer, age and email address.
Visual appointment overlap management with a clear display.
Performance indicators (visible or not) configurable by agenda book; fees, laboratory costs, average hourly rate, hours occupied and hours available. These are displayed at each column header and can thus be quickly consulted. Among these indicators, note the “Average hourly rate” which is strongly linked to an annual pre-budget analysis approach of income per professional. This dynamic information can also be corroborated with the detailed analysis of the exploratory times offered by the software.
Possibility of sending email to the patient from his appointment. The system offers all the email addresses of the patient, family members and managers to facilitate shared communication.
From a selected appointment, direct access to the patient's file, profile, treatment plans, historical appointments, treatment file, insurers, reminders, document management , to his professional notes and other follow-ups (memos).
Possibility of email notification to the patient and/or resource when adding or modifying appointments.
Synchronization possible with “Google Calendar”. In mobile healthcare, the geographic coordinates of the patient allow you to quickly obtain a route from your smartphone.
SCHEDULING AND RESOURCE MANAGEMENT
Each human or material resource has its own specific schedule (presences, planned absences, by period of the year, etc.) and its independent unit periodicity in minutes. If necessary, the schedule of a given resource can be consulted and modified directly from the agenda. A quick open/close option also allows you to make quick adjustments to your schedule by simply selecting the time slot in question.
Each resource can be associated with a category which can then be used to search for availability to quickly answer a question such as: “Which professional from a specialty X is available the fastest to meet a patient in an emergency? ". The number of definable categories is unlimited. The resource category is also used for analysis and statistics.
Possibility of categorizing the time slots of a professional by treatment category. This possibility ensures that only appointments of the same category can be inserted in the time slot in question.
Possibility of defining working groups that are then used to search for availability to speed up multi-resource appointment scheduling.
Possibility of managing schedules by branch. An effective approach for a group of clinics wishing to set up an appointment booking center and which uses mobile resources, i.e. professionals moving from one clinic to another.
The management of schedules by branch guarantees rigorous management of resources to avoid any conflict. Any appointment for a patient at a given branch can only be made if the resource's schedule is free for the same branch.
Absences and attendances can be defined as "Exclusive" or not. The "Exclusive" type for an absence eliminates the time slot concerned from the time slots available during an availability search. A presence defined as “Exclusive” for one or certain categories will only register appointments with the specified category. It is also possible to define a fixed appointment duration for a presence category (time slot) when it is of the "Exclusive" type.
Possibility of moving the appointments of a resource who announces his absence at the last minute to another resource whose time slot is defined under the "Fixed slot" mode.
