Communication with your clients should always be a priority as part of a value-added client experience. Indeed, continuous and quality communications make it possible to constantly optimize the business relationship with your most precious asset.

Beyond the need to respond to the communication preferences of each of your clients, whether it is by emails, phone calls or SMS (text messages), you must be able to rely on a flexible software that adapts to your communication strategy needs.

With the batch communication feature of CTRL/File, you can communicate with a large volume of target contacts in one step and with great flexibility, which allows your team to save time and to share more information faster with your clients.

The batch communication function is also integrated into the task management (interventions and follow-ups) and document management functions of the software so that each of your communications can be supplemented with a management action such as:

  • Add a follow-up (task) to each file that is part of a target group with or without sending an email to the targeted contacts;
  • Share specific documents with each contact in your target group.

But the batch communication functionality goes far beyond just communicating with your clients. For example, all the flexibility of management by type of file of CTRL/File can be exploited to set up communications with various stakeholders in business connection with your organization. For example, your employees, suppliers, partners, prospects, potential customers, etc.

Therefore, CTRL/File should be identified more as an XRM (Extended Relationship Management) tool and not strictly as a simple CRM (Customer Manager) tool.

All the power of the batch communication feature revolves around the "Target Contact Group" notion. A target group is a list of contacts built from very precise criteria, according to your needs, and applied to your global database. Once defined, each target group is simply updated before any communication to refresh the list of contacts targeted by your communication.

The "Target group" notion is based on the "File profiling" notion, another concept where CTRL/File excels and offers almost unlimited flexibility. In fact, you can define and fully customize the list of characteristics (profile) to be associated with any file that you manage in your database and, therefore, specific to your business context.

The batch communication function then uses your profiling to target different contacts and send each one the specific message you want, accompanied by additional digital documents, if necessary.

Communications applications become limited to your imagination:

  • Client communication (e.g., an invoice, a statement of account, a service notice, a tutorial, etc.);
  • Promotional emails to targeted prospects;
  • Price request from suppliers;
  • Information and promotion notices to your business partners;
  • Internal information notice for employees
  • Etc.

All this from a single software: CTRL/File. While being exploited completely autonomously, CTRL/File is also integrated with the other CTRL software transparently. For example, the file and the contact details of a client defined in CTRL/File are managed with integrity and transparency, whether you are using the "Account statement" functionality of CTRL/Finance or the sales order functionality of CTRL/Product.

A single file thus allows the integrity of the information, the elimination of data entry errors, and, therefore, time savings for your team!
